Privacy Policy

Gawthorpe Textiles Collection (GTC) is committed to protecting your privacy and security in line with General Data Protection Regulations. This privacy policy explains how and why we use your personal data and is intended to help ensure that you remain informed and in control of your information. This privacy policy is reviewed regularly and we may make changes from time to time to ensure that it is kept up to date with legislation.
 
Who we are:
In this Privacy Policy “Gawthorpe Textiles Collection”, “GTC”, “we”, “us” and “our” relates to The Rachel Kay-Shuttleworth Textile Collections, registered charity number 1182054 (formerly 516227).

The Rachel Kay-Shuttleworth Textile Collection Trust was established in 1959. Now operating as Gawthorpe Textiles Collection we are an independent charity and Accredited Museum whose purpose is to hold Rachel Kay-Shuttleworth’s Collection of woven, embroidered and other materials, tapestries, garments, books, objects d’art and other articles, and to realise Rachel Kay Shuttleworth’s vision for inspiring people and encouraging learning through textile craft and heritage.  

As the operator of outreach activities under the name of Valley Street Textiles Studio at Valley Street Community Centre from 2016-2022, this policy also applies to any data specifically collected by us at Valley Street. Please be aware however that this policy does not cover any data that you may have provided to Calico Homes or any other third party. In this case you should request to see their privacy policy.

The data we collect:
When you interact with GTC we will collect and store the minimum amount of data necessary to conduct our business with you and to ensure that our records are accurate. The circumstances where we will collect or store your personal data are as follows:

• you have asked us for information.
• you have registered to receive our newsletter.
• you book/attend an event, activity, tour or study visit.
• you have given permission for us to take photographs of you or your child interacting with our activities for publicity purposes.  
• you have donated an item or items to the collection.
• you have provided information to the organisation whether an oral recording or written document to contribute towards our research and knowledge base regarding e.g. the collection, founder or donors. 
• you have applied to work with us as a member of staff, freelance contractor or volunteer.
• you have donated money to us or given consent for Gift Aid.
• you have purchased items from our online shop www.gawthorpetextiles.co.uk or via the Ravelry store.
• you have submitted feedback, comments or a complaint.

This data may include your name, address, telephone number and email. In the case of staff, freelancers and volunteers, this may also include: date of birth, next of kin emergency contact details and financial (bank account) information. We do not normally collect “special categories of personal data”, however some circumstances may warrant this such as if you work or volunteer with us, to ensure that we are aware of any relevant access or medical needs. 

We will not collect data from third-parties and will only hold relevant data provided by you during direct interactions with us. 

GTC will ensure that personal information is securely retained. Information stored electronically will be subject to access controls and passwords.

Why we need your personal data:
Your personal data is only collected with your consent so that we can:

• communicate effectively with you to provide any requested service (including provision of newsletters, delivery of an activity, respond to an enquiry or communication).
• maintain accurate records regarding sales.
• comply with legal regulations regarding the employment of staff, freelance contractors and volunteers that work with us.   
• record the provenance and transfer of title of items coming into the museum collection as evidence of legal ownership.
• evidence permission for the use of publicity images containing you or your child.
• maintain accurate records and evidence permission for the use of oral recordings or written documentation.  
• claim Gift Aid on your donation.
• any other legal obligations we may have during the course of our legitimate business.

How we use your data:
All personal data provided to GTC is treated in strict confidence. Use and storage of your data will comply with General Data Protection Regulations and data will only be used for the purposes for which it was collected.

We will not provide your personal data to any affiliated or other third-party organisation or individual. However should there be legitimate grounds to do so, we will seek your express permission in advance.

Marketing:
We will not use your details for marketing purposes without you having provided “opt-in” permission to do so. Where consent has been given, we will use the personal data that you have provided to communicate with you i.e. issuing newsletters, promoting events and exhibitions, inviting you to workshops and activities and informing you of special offers or new product lines in our shop .

We issue regular newsletters through MailChimp. You have the right to “opt-out” of receiving marketing information at any time by unsubscribing from our mailing list. This option is included at the end of each newsletter we issue.

Your rights regarding your data:
Under the General Data Protection Regulations individuals have the right to access the personal data held about them by organisations. You may therefore submit a “Subject Access Request” to GTC at any time. You have a right to:
  • know what data we hold and obtain access to, and copies of, that personal data.
  • ask us to correct any inaccurate personal data we hold.
  • object to, ask us to restrict or cease our processing of your personal data.
  • object to receiving marketing communications from us.
  • “be forgotten”, to ask us to erase your personal data (this will not apply if retention of that data is required for legal purposes).
The above rights however are not absolute, and we may refuse requests where we are legally obliged to retain or process your information legitimately. In this case, a full explanation will be provided. Should you be unhappy with the response that you receive, you have the right to refer your concerns or queries to the supervisory authority, the Information Commissioner’s Office. How long data will be retained:
We will only store information for as long as it is required for the purposes that it was collected. This retention period will vary depending on the type of information, purpose of collection and any legal obligations that we have. We will permanently delete/destroy any personal data that is no longer required. Some data will be held in perpetuity where this relates to items donated to the collection.   

Third party websites:
If you submit your personal details to a third party website in order to sign up to receiving our newsletter, purchase GTC goods, to book onto an event or communicate with us through social media, any personal information that you provide to that website will not be covered by this privacy policy.
